& Procedures

Our policies are designed to create a seamless, respectful, and supportive experience for every member of our Pilates community.

We're so happy you're here.

At Kee Health, our mission is to create a welcoming space where movement feels empowering, progress feels sustainable, and every client feels supported. Our studio is built on community, respect, and a shared commitment to health and wellness.

To help create the best possible experience for everyone, we've established the following studio policies. These guidelines allow us to offer a seamless experience, maintain class availability, and ensure all members have fair access to our reformers and services.

Booking Your Classes

All classes require advance booking through our online reservation system, Momence.

Class reservations are available on a first-come, first-served basis and may be booked up to 49 days in advance.

We encourage members to reserve classes early, as reformer classes often fill quickly.

Please ensure your account information is accurate and up to date, and notifications have been enabled on your phone and in the Momence app, so you receive booking confirmations and notifications.

Waitlists

If a class is full, we encourage you to join the waitlist.

Waitlist Guidelines

  • Waitlisted clients who are added to class are subject to our standard cancellation policy.
  • If your plans change and you no longer wish to attend, please remove yourself from the waitlist promptly.
  • It is each member's responsibility to monitor their waitlist status and upcoming reservations via their Momence account.

Class Cancellation Policies

Because each reformer spot is limited, we kindly ask that members cancel classes as early as possible when they are unable to attend.

It is each member's responsibility to cancel their booking directly via the Momence app/website, and not by texting/calling the Kee Health main phone number.

This allows other members the opportunity to book available spots.

Cancellation Window

Classes may be canceled without penalty up to 12 hours before the scheduled class time.

Late Cancellations

Any cancellation made less than 12 hours before class start time will result in:

Unlimited Membership Holders $12 Late Cancellation Fee
Class Package Holders One class credit forfeited

We understand that unexpected situations occasionally arise. Requests for exceptions due to emergencies may be reviewed on a case-by-case basis.

Minimum Enrollment Policy

Group classes require a minimum of 3 participants to run. If fewer than the minimum number of clients are enrolled, the studio may cancel the class to ensure efficient use of instructor and studio resources.

Whenever possible, cancellation decisions will be made at least 2 hours before class begins. Affected clients will be notified by email, text message, or through the Momence platform and will not be charged for the canceled session.

Additional

The studio reserves the right to make changes to the published schedule, including class cancellations, instructor substitutions, class format modifications, or schedule adjustments, as needed due to enrollment levels, instructor availability, weather conditions, facility issues, or other operational considerations.

No-Show Policy

A no-show occurs when a client reserves a class and fails to attend without canceling through Momence.

No-Show Fees

Unlimited Membership Holders $12 No-Show Fee
Class Package Holders One class credit forfeited

No-shows prevent fellow members from accessing available reformers and make it difficult to accommodate waitlisted clients.

As always, we strive to approach exceptional circumstances with understanding and compassion.

Arriving for Class

We recommend arriving 5–10 minutes before class begins to allow time to check in, settle in, and prepare for your workout.

Late Arrival Policy

For safety reasons, clients must participate in the class warm-up.

Clients arriving more than 5 minutes after class begins will not be permitted to enter class.

This policy helps ensure:

  • Client safety
  • Proper instruction and warm-up
  • A smooth and uninterrupted experience for all participants

Late arrivals beyond the 5-minute grace period may be treated as a late cancellation or no-show.

Memberships & Class Credits

We are committed to transparency and consistency in how memberships and class packages are managed.

All Purchases Are Final

Unlimited memberships, class packages, introductory offers, workshops, events, and retail purchases are non-refundable and non-transferable.

Credits Are Personal

Memberships and class credits:

  • Cannot be transferred to another person
  • Cannot be shared among family or friends
  • Cannot be exchanged for cash or any other type of studio or clinic credit
  • Hold no cash value

Credits are intended solely for the member who purchased them.

Credit Expiration Policy

To encourage consistent practice and ensure fair pricing, all class packages include expiration dates.

Package Expirations

Package Expiration
Introductory Offers 1 year from purchase
1-Class Package 1 year from purchase
10-Class Package 1 year from purchase
25-Class Package 1 year from purchase
50-Class Package 1 year from purchase

Unused credits automatically expire at the end of the applicable period.

Extensions are not guaranteed but may be considered for documented medical circumstances at management's discretion.

Prime-Time Booking Policy

Our most popular classes often reach capacity. To help as many members as possible enjoy peak class times, we maintain a fair-access booking policy.

Prime-Time Hours

Prime-time classes generally include:

  • Weekday mornings
  • Weekend mornings
  • Other high-demand classes as designated by the studio

Back-to-Back Bookings Policy

To provide equitable access to reformers during busy periods, back-to-back bookings are not permitted during prime-time hours.

Members are welcome to book a second consecutive class if space remains available closer to class time.

The studio reserves the right to remove bookings that conflict with this policy.

Our goal is simply to ensure all members have the opportunity to attend high-demand classes.

Unlimited Membership Freezes

We understand that life happens.

For injury, illness, travel, pregnancy, or other approved circumstances, memberships may be temporarily frozen.

Freeze Guidelines

  • No booking/advance booking of classes or appointments will be available while a membership is frozen
  • At least seven days' advance notice is appreciated whenever possible
  • A freeze fee per month may apply
  • Unused freeze time does not carry over from year to year

Unlimited Membership Cancellations

While we hope to be part of your wellness journey for years to come, we understand that circumstances can change.

Cancellation Requirements

  • Written notice is required
  • A minimum 30-day notice period applies
  • Cancellation requests must be submitted by email or through your member account
  • Verbal cancellation requests cannot be accepted

Membership dues already processed are non-refundable.

Studio Etiquette

Creating a welcoming and respectful environment is a shared responsibility.

We kindly ask all members to:

  • Arrive on time
  • Silence cell phones before class
  • Wear grip socks during all reformer sessions
  • Respect instructors and fellow members
  • Keep conversations considerate of others
  • Help maintain the cleanliness and care of the studio

Grip Socks Required

For safety and hygiene, grip socks must be worn during all reformer classes.

Grip socks are available for purchase at the studio if needed.

Health & Safety

Your well-being is our highest priority.

Please notify your instructor before class if you have:

  • Injuries
  • Pregnancy
  • Recent surgeries
  • Medical conditions
  • Physical limitations

Our instructors are happy to provide modifications whenever appropriate.

We encourage all members to listen to their bodies, move mindfully, and communicate openly with our team.

Community Expectations

Kee Health is committed to fostering a positive, inclusive, and respectful environment for everyone.

We reserve the right to suspend or terminate memberships in cases involving:

  • Harassment
  • Abusive language
  • Unsafe conduct
  • Disruptive behavior
  • Repeated violations of studio policies

These measures exist to protect the experience and well-being of our community.

Policy Changes

As our studio evolves, policies may occasionally be updated.

The most current version of these policies and procedures will always be available through our website, member portal, or front desk.

Continued participation in studio services constitutes acceptance of any revised policies.
